Assistant Project Manager – 3-year contract

 

In October 2020, Canada will host the World Congress on Safety and Health at Work. The World Congress, sponsored by the International Labour Organization (ILO) and the International Social Security Association (ISSA), is the world’s largest event for the international occupational health and safety community and will draw more than 3,500 delegates from more than 150 countries. The theme for the Canadian Congress is ‘Prevention in the Connected Age’. The Assistant Project Manager is a member of the World Congress project team and will play a central role in coordinating and documenting the planning for this global event. This position reports to the President of the Institute for Work & Health (IWH), which is co-hosting the World Congress along with the Canadian Centre for Occupational Health and Safety.

Duties and responsibilities

The following are the expected duties and responsibilities of the Assistant Project Manager:

  • Provide administrative support to the World Congress project team, in consultation with a National Advisory Committee and representatives of senior multilateral organizations
  • Provide support to the World Congress project team in the development of financial contribution agreements
  • Play a central administrative role in the coordination of project management activities, including the responsibility for careful documentation of key project files, scheduling and calendar management, and preparation of draft correspondence and presentations for review
  • Ensure the preparation of timely and accurate briefing materials for project governance activities
  • Serve as the primary liaison for communications with project governance participants, external stakeholders and lead service providers

Education and experience

Qualified candidates may have a background in business, accounting or finance or may have training in a discipline relevant to the field of worker health protection. An undergraduate university degree is a minimum requirement for this position, with at least 7-10 years of experience in executive administrative roles.

Relevant skills and attributes

A qualified candidate will possess the following skills and attributes:

  • Very strong project management expertise, with demonstrated experience in the design and monitoring of workplans and exceptional attention to detail
  • Outstanding time management skills and a strong record of success in supporting dynamic and fast-moving project teams
  • Strong proficiency with office computing software, including advanced proficiency in MS Word, MS Project and MS Excel
  • Familiarity with the principles of financial administration
  • Excellent talent in verbal communication and confident interpersonal skills in engagement with diverse external stakeholders
  • A talent for clear and precise written communication with strong proofreading and editing skills
  • Curiosity, enthusiasm and rigour
  • Familiarity with the world of work would be an asset for this position

Salary Range: Salary will depend on qualifications and experience, with a salary band of $72,000 - $80,000 and a comprehensive benefits package. Suitability for the position will be assessed at 6 months.
